Reorder Inventory

To prevent running out of stock, it's important to regularly check your inventory levels and reorder when necessary. Here are some steps you can follow to keep your inventory levels in check:

Monitor Low Inventory Levels

Set Minimum Inventory Levels

It all starts by telling Stoqflow what the minimum inventory level for each product is. This can be done in two ways:

  • When editing a product, you'll find a field in the inventory section where you can set the minimum inventory level.
  • In bulk, by importing a CSV file with product data, including the minimum inventory level. This is the fastest way to set the minimum inventory level for a group of products.

Check Inventory Below Minimum

Once you've set the minimum inventory levels for some products, Stoqflow will display alerts in important places in the app when the inventory of a product falls below the minimum:

  • In the product list, the inventory number will turn red when it falls below the minimum.
  • On the product detail page, the inventory for the product will be displayed in red at the top when it falls below the minimum.
  • The "Inventory Below Minimum" report shows an overview of all products that have fallen below the minimum. You can also reorder from here.

Set Up Automatic Alerts

You can also set up an automatic alert that notifies you when the inventory of a product falls below the minimum. This can be helpful if you don't regularly check inventory levels. You can set up these alerts in the settings of Stoqflow.

Inventory is automatically checked every night (at 2:15 AM), and when products have fallen below the minimum, they are sent to you in a neat list via email.

Reorder Inventory

When you determine that the inventory of a product is below the minimum, it's time to reorder. This can be done in several ways:

Manually Create a Purchase Order

The most obvious way is to create a purchase order . You can do this by navigating to the purchase order list and creating a new purchase order. Manually enter the supplier where you want to place the order, add the products and their order quantities, and place the order.

From the "Inventory Below Minimum" Report

The "Inventory Below Minimum" report is a handy place to quickly reorder. In this report, you'll see an overview of all products that have fallen below the minimum. In the last column of the report, you'll find a truck icon () that you can click to create a purchase order for that product.

From the Product List

The easiest way is to reorder from the product list using the following steps:

  1. Navigate to the product list.
  2. Filter (optional) by the supplier you want to reorder from to only show products that can be ordered from that supplier.
  3. Select the products you want to reorder, paying attention to the red inventory numbers that indicate that the inventory is below the minimum.
  4. Click "Order" at the top of the list.

Stoqflow will automatically create a draft purchase order with the supplier for all the products that can be ordered for the selected products. Order quantities are automatically calculated based on the difference between the current inventory and the minimum inventory level, or the minimum order quantity (if set on the product).
